Location: Kitchener & Waterloo, ON
Hours: 3 days a week, Monday to Friday, 9 AM – 5 PM (Excluding Statutory Holidays)

Rate: $24/hour

Contract duration: October 20th through March 31, 2025, with opportunity for extension

ArtsBuild Ontario (ABO) is committed to supporting the development and sustainability of community arts spaces across Ontario. We are seeking a dedicated and proactive Operations Coordinator to join our team and ensure the smooth operation of multiple community spaces.

Job Overview:
The Operations Coordinator will be responsible for maintaining and managing the day-to-day operations at 44 Gaukel (Kitchener), Wing 404 (Waterloo), and 99 King (Kitchener). This role requires a blend of customer service skills, building management, and the ability to support our tenants and the public in a dynamic environment. This role may also support programming through communications and community engagement.

Key Responsibilities:

44 Gaukel (80%)

  1. Facility Maintenance: Ensure cleanliness and proper upkeep of shared spaces, distribute mail, submit service requests to the landlord, and perform daily building checks.
  2. Public Engagement: Welcome visitors, answer inquiries, and provide guidance to the public about the building, special events and parking queries.
  3. Shared Amenities: Manage and track sign-outs of shared items, including the projector and hanging system.
  4. City of Kitchener Liaison: Relay relevant information to tenants regarding City updates and regulations. Send weekly building summary to CoK contacts noting tenant changes and Facilities Management (FM) issues (resolved and unresolved).
  5. Permit Management: Ensure tenants with Flex Space bookings comply with public event permits.
  6. Short-Term Rentals: Conduct tours of shared spaces, manage key/FOB distribution, handle invoicing, and oversee payment processes.
  7. Tenant Relations: Conduct studio tours for prospective tenants, assist with conflict resolution, and support the ABO Bookkeeper to ensure invoices are distributed and rental fees are collected.
  8. Tenant Agreements: Draft licensing agreements for new tenants as needed.

Wing 404 (10%)

  • Building Checks: Perform weekly building checks and monitor the condition of the space.
  • Event Support: Assist Meanwhile Space participants with event requests and provide necessary permit information.
  • Community Interaction: Address inquiries from the public and provide venue tours when requested.
  • Key System Management: Oversee the key system and make security and access recommendations as needed.

99 King (10%)

  • Building Checks: Conduct weekly building checks and assess space condition.
  • Tenant Agreements: Draft licensing agreements for tenants as needed.
  • Marketing: Promote shared studio spaces to potential renters.
  • Tenant Support: Provide assistance to tenants as needed.

Skills & Qualifications:

  • Customer service experience, particularly in a community or shared space setting.
  • Experience in managing or maintaining community spaces.
  • Familiarity with Google Suite.
  • Experience with Skedda and Stripe software is an asset.
  • Strong written and verbal communication skills.
  • Ability to resolve conflicts in a calm and professional manner.
  • Basic project management skills.
  • Physical ability to move shared furniture as needed (some lifting required).
  • Comfort working in a loud or dynamic environment (44 Gaukel).
  • Access to a vehicle or the ability to travel between locations as required.

Accessibility Considerations:

  • This role involves long periods of sitting or working at a computer.
  • Some physical tasks may be required, including moving shared furniture during building checks.
  • One of the buildings has 2 flights of stairs and does not have an elevator.
